HOMECRAFT EXHIBITOR

RULES AND REGULATIONS

  1. Any person may become a member of the Society by paying to the Secretary or Treasurer the sum of $6.00 each year, but no person whose membership at the time is in arrears shall be entitled to vote or be elected to office, or to compete for prizes at the annual exhibition.
  2. All articles entered in the following classes, or under the following headings namely, Hay, Garden Vegetables, Fruits, Horticulture and Culinary Arts MUST BE THE PRODUCT, or the manufacture, as the case may be OF THE PARTY EXHIBITING and MUST BE THE PRODUCT OF THE YEAR IN WHICH THEY ARE EXHIBITED, and if required, THE EXHIBITORS MUST CERTIFY TO THESE FACTS. Grains & seeds may be of the previous year.
  3. No persons will be allowed to enter for competition more than one specimen in any one class unless additional article be of distinct named variety or patterns from the list. This rule not to apply to animals but to all kinds of Grains, Vegetables, Produce, Fruits, Flowers, Baking, Manufactured Articles, etc., to which individual specimen would necessarily be precisely similar to the first.
  4. All articles entered in the Homecraft, Miscellaneous and Photo Divisions must be the workmanship or the manufacture of the party exhibiting.
  5. Any person exhibiting animals, or articles not in accordance with the wording of the section in which entered or contrary to the By-laws and Regulations of the Society shall forfeit all prizes awarded to him or her, and if proved to have acted so knowingly, he or she shall be expelled from the Society.
  6. No person shall receive a premium for any articles or animal which, IN THE OPINION OF THE JUDGES IS NOT WORTHY OF IT. Discretionary premium may be awarded on the recommendation of the judges.
  7. All entries of animals or articles intended for competition must be made on the printed entry form accompanying the Prize List, then forwarded to those specified in each section of the prize list.
  8. NO PERSON SHALL BE PERMITTED IN THE HORSE OR CARRIAGE RINGS DURING THE TIME OF JUDGING – except judges, grooms, or persons in charge of the animals and directors or others in charge of the class.
  9. The Directors shall arbitrate and settle all disputes which may arise among the members, and their decision shall be final.
  10. Prizes awarded and not called for inside of three months after the annual exhibition will be forfeited and considered as a donation to the Society. Cheques must be cashed within 60 days.
  11. All articles intended for competition herein, shall be placed in the Exhibition Hall not later than 11:30 a.m. Thursday, and cannot be removed until 3:30 p.m. on Sunday. All exhibits must be removed before 4:30 p.m. Sunday.
  12. Any member interfering with the judges or using abusive or contemptuous language to any of them shall forfeit all prizes that he/she may otherwise have been entitled to.

Every member receiving in premiums the sum of $6.00 or over, shall leave with the Treasurer his or her membership fee for the ensuing year, and the Treasurer shall deduct said membership fee when paying premiums to the exhibitors. An exhibitor making a protest must make it in writing, no longer than 10 days after the conclusion of the fair and it must be delivered to cause of complaint or appeal. It also must be accompanied by a deposit of $20.00, which sum shall be forfeited to the Society, if the protest is not sustained. A meeting of the Board of Directors subsequently called, and of which due notice shall be given to all parties interested, the protest shall be fully investigated and finally determined. The Board of Directors earnestly hope all exhibitors will not enter protests without grounds for doing so, as much annoyance and unpleasantness is often occasioned by protests of a frivolous nature.
  3. Every member of the Society, upon payment of his/her membership, will be entitled to all the privileges of membership; to exhibit at the Fair and attend and vote at the Annual Meeting. MEMBERSHIP DOES NOT INCLUDE GATE ADMISSION.
  4. All exhibitors are entitled to admission passes on the following basis:
    HORSES: 1 or 2 animals = 1 day pass; each additional 2 animals = 1 day pass; entries in Heavy Hitch classes = 2 day passes per hitch.
    CATTLE: 1 to 4 animals = 2 day passes; each additional 4 animals = 2 day passes, maximum of 10 day passes.
    SHEEP: 1 to 8 animals = 1 day pass; each additional 8 animals = 1 day pass.
    Exhibition Hall Entries (except Junior classes):
    5 articles or more = 1 pass.
  5. In the event of the Society not having sufficient funds to pay the prizes in full, the directors reserve the right to adjust the necessary percentage as they see fit.
  6. The Vankleek Hill Agricultural Society accepts no responsibility whatsoever, expressed or implied, for any loss, accident, damage or injury to any person or animal on the grounds or in any building. In this respect all livestock exhibitors and any contestants should carry their own liability insurance.
  7. The Vankleek Hill Agricultural Society reserves the right to publish names of prize winners.
  8. Smoking is prohibited in all buildings on the fairgrounds.
  9. Alcohol Prohibited: Drinking of alcoholic beverages is prohibited anywhere on the fairgrounds, except in the licensed bar area. This rule will be strictly enforced. Sanctions may be applied.

PRIZE LIST FOR EXHIBITION HALL

Vankleek Hill Agricultural Society is not responsible for lost items, although we do everything in our power to ensure the safety and proper collection of all exhibits. We are also not responsible for delivering items left in the hall past the pickup time on Sunday.

  • Special prizes are typically available for pick up on Sunday afternoon. Please see one of the Fair Directors in charge.
  • Gift certificates and special prizes are donations, and are non-refundable and cannot be exchanged.

SPECIAL AWARDS:
Exhibition Hall Trophy – The exhibitor with the highest total points accumulated from the hall exhibits will be presented with this trophy with his/her name inscribed on it.
$50 Donation by Rachel Proudfoot, Manulife Securities, Vankleek Hill, awarded to the exhibitor with the highest total points.
A $40 gift certificate donated by Brian’s Place, Barney Gordon, prop., Vankleek Hill, awarded to the exhibitor with the second highest total points.
New Exhibitor Trophy: Donated by Hillcrest Funeral Home, presented to the first time exhibitor with the highest total points accumulated from the hall exhibits, and $30 prize money.
Junior Division Hall Trophy – The exhibitor from the Junior Division with the highest total points will be presented with a trophy with his/her name inscribed on it.
Special Prize: $15 to the Junior Competitor with the highest total points in the exhibition hall Donated by Kenda Allen.
Special Prize: $10 to the Junior Competitor with the second highest points in the exhibition hall. – Donated by Evelyn Bernique.
Please note that special rosette ribbons awarded to “Best Of…” classes will be for display only and will remain the property of the Home craft division. Also, any exhibitor wishing to return his/her ribbons for recycling purposes may do so on Sunday when the exhibits are removed from the hall.

HORTICULTURE DIVISION
All flowers to be shown in non-expensive containers. The Vankleek Hill Agricultural Society and/or its Directors cannot be responsible for valuable containers.
The following “Hints for Exhibiting Flowers” should be read and applied to ensure your entries are not disqualified.

  • all exhibits should be attractively arranged;
  • all arrangements must be MOVEABLE AND IN ONE
  • SOLID PIECE – no extra pieces to be fastened to the arrangement;
  • flowers should be as uniform as possible;
  • exhibit must contain the exact number of flowers specified for the class;
  • in any of the arrangements, cedar may be used as a filler or base;
  • do not leave seed head on exhibit;
  • exhibits with insects shall be removed from the show;
  • remove dead foliage;
  • African violets should contain only a single crown in a pot;
  • ideal gladiolus spikes should show 1/3 open bloom,
  • 1/3 bud and 1/3 green;
  • be sure to measure the diameter of the blooms and enter the proper size by class;
  • in a floral arrangement, the large flowers and strong colours should be at the base;
  • a spray is a number of blossoms and a stem is a single blossom (with exceptions, i.e. phlox);
  • unopened buds on exhibits do not count as a bloom and must be removed with the exception of the classes for Lavatera and Cosmos

Descriptive Terms & Exhibitor Tips

  • Garden grown flowers only, should be exhibited
  • Stem – a flower stalk with one or more flowers, buds and foliage
  • Bloom – one flower with foliage on each stalk, with no buds showing colour
  • Spike (spray) – a cluster of individual flowers up and down a stem
  • Condition – free of disease, insect damage, insects, etc.
  • Colour – should be uniform
  • Form – proper shape for type of flower
  • Substance – fresh, not wilted
  • Uniform in size when more than one bloom or stem is required
  • Showmanship/Display counts for part of placing
  • Always leave some foliage, especially what is under water in the container.
  • Every entry must have an entry tag well attached to a sturdy container, heavy enough to support the flowers in it.

  4. What Will It Bee …He or She? – A creative table
    arrangement for a baby shower. Accessories
    welcome – and may include a gender reveal.
  5. Tea & Honey – An arrangement with a bee/honey
    theme made in a teapot. Accessories accepted.
  6. Bee Kind – a bee-themed flower arrangement in a mason jar. Decorations acceptable.

Exhibition Hall Reminders

The hall will be open on Wednesday evening 7 p.m. to 9 p.m. and Thursday morning between 9:00 a.m. and 11:30 a.m. to receive exhibits.
All hall exhibits are to be removed on Sunday, between 3:30 p.m. and 4:30 p.m. It is the exhibitor’s responsibility to ensure that your exhibits are collected. The Vankleek Hill Agricultural Society is not responsible for lost articles, although we will do everything in our power to ensure the safety and proper collection of all exhibits. The exhibit hall will be open between 7:00 p.m. and 9:00 p.m. on Thursday evening for fair goers.
Group displays and 4-H Clubs must inform the Directors of their intention to exhibit by August 6th, so that space can be allotted.


CULINARY ARTS DIVISION

Culinary Arts Exhibitor Tips:

  • Previous day’s baking desired.
  • Exhibitors to cover baking with clear plastic bag, no plastic wrap please, except on cakes.
  • Muffins, cookies and small cakes are exhibited on small disposable plates provided by the exhibitor.
  • Exhibitors of pies and cakes may leave one portion on display and take the remainder home Thursday 7 – 9 p.m. or Friday 9 -11 a.m. Please bring your own knife and a plate on which to leave the one portion.

CLASS: BAKING

YEAST BREAD: Size and shape: well proportioned; even golden top and bottom; crust – no cracks, do not pick with fork; light for size, no internal holes.

Buns: attached
QUICK BREADS:
Loaves: cracks on loaves are acceptable
Coffee cakes: loaf cakes, even colour, tender crust, no moisture on top. Top cracks accepted.

Muffins: uniform, rounded top, no peaks, moist internal appearance, no tunnels.
Do not overmix muffins. Do not show muffins in paper cups
PIES & TARTS:

Score: 20 General Appearance, 50 Crust, 30 Filling
Crust: medium thickness, tender, flaky; Filling: thick enough to hold shape, medium depth.
Tip: Temper foil plates 10 minutes @ 400F before using.
To PIE EXHIBITORS: Exhibitors must enter a whole pie.
CAKES: Uniform thickness of layers; Slightly rounded on top; Cardboard bases must be covered with foil.
Frostings are boiled or cooked; icings should not be cooked and should have butter or shortening base should touch plate.

PICKLES & RELISHES:
Score: 30 General Appearance, 30 Texture, 40 Flavour and Aroma

Pickle is a piece of vegetable or fruit that has been preserved with a salt and/or vinegar mixture. Pickles may be either sweet or sour and may use herbs or spices to provide extra heat or flavours. Judged on natural colour, not cloudy, uniformity; 9-day pickles are sliced crosswise (may use food colouring); Icicle pickles are sliced lengthwise (may use food colouring).
Relish is a pickle that has been chopped rather than left whole. Relishes can be sweet or sour, mild or hot. Relishes have uniform pieces.
Salsa is a Mexican word for “sauce” and can be either cooked or fresh. It has come to refer to a blend of vegetables and/or fruits with spices and herbs.
Chutney is a spicy condiment made from fruit, vinegar, sugar and spices. Chutneys can be smooth or chunky and range in spiciness from mild to very hot.
Mustard is a sauce made from seeds of the mustard plant. Its spiciness ranges from mild to hot depending on the method of preparation and variety of mustard seeds. “Prepared” mustards are mustards mixed with other ingredients.
Ketchup is a spicy mixture made from the juice of cooked vegetables and fruits, typically made from tomatoes.
NOTE – When a cardboard base is called for, it must be covered with foil wrap, or the entry will be disqualified.

  • Open to amateur photographers only (not paid for your photography work)

  • Photos should be unframed and mounted on cardboard or bristol board

JUNIOR DIVISION

Exhibitors in Junior Classes Sections 1 to 50 inclusive, are not required to be members of the Agricultural Society and NO entry fee will be deducted.
If juniors exhibit in classes other than junior or 4-H classes, they must purchase $6 membership to exhibit other items.
ENTRY FORMS WITH YOUR AGE AND ADDRESS MUST BE COMPLETED – so that your prize money can be delivered. This form is available on our website or in the back of the fair book.

All items entered in the fair require that a fair entry tag is affixed to the item. These tags may be picked up at the Fair Office the week of the fair.
Children may only enter in the class designated for their own age group. (Age is determined as of the Wednesday of the fair.)
All entries must be made or grown by the exhibitor

The exhibition hall will be open on Wednesday evening from 7:00 – 9:00, and on Thursday morning from 9:00 to 11:30 to receive entries
Exhibits must be removed between 3:30 and 4:30 on Sunday
It is the exhibitor’s responsibility to ensure that your exhibits are collected. The Vankleek Hill Agricultural Society is not responsible for lost items, although we do everything in our power to ensure the safety and proper collection of all exhibits. We are also not responsible for delivering items left in the hall past the pick-up time on Sunday.
Prize money and special prizes are typically available for pick up on Sunday afternoon. Please see the director in the hall before leaving with your exhibits

CLASS – 6 Years Old

  1. Using two sections of an egg carton make a bee.

  3. Using a paper plate, create the head of the unicorn.

CLASS – 7 Years Old

  1. Using a tin can make a bee. Accessories
    accepted.
  2. Dinosaur – fold paper plate in half, add head, tail
    and other details to make dinosaur
  3. Using your thumbprint as the body, make the
    prints into bees and add decorations/drawings
    to make a scene of bees on 8 ½” x 11” paper
  4. Using an overturned flower pot, decorate it as a
    fairy house for a garden

CLASS – 8 Years Old

  1. Using a hard boiled or plastic egg as base, make
    a queen bee. Display in egg cup or section of
    egg carton.
  2. Using Q-tips, create 3 different snowflakes each
    mounted on a circle of paper, and display all
    three in a paper plate.
  3. Make a sign that says “The Place to “Bee” –
    Vankleek Hill Fair” on 8 ½” x 11” paper. Add
    decorations.
  4. Using cylindrical macaroni, glued on an 8 ½”
    x 11” paper, make a bee hive hanging from a
    tree. Add bees and decorations.

CLASS – 9 Years Old

  1. Create a birthday card with a country scene on
    the front.
  2. Create something useful from something useless
    (main material is recycled)
  3. Using a flower pot as a base, create a bee hive
    with bees
  4. Decorate a picture frame with bees and “bee
    kind” saying. Display with a photo of being kind

CLASS – 10 /11 Years Old
Prize Money – $4, $3.50, $3, $2

  1. Using rings cut from paper towel or toilet paper
    roll, create a honeycomb section of a beehive.
    Add at least two bees in the hive.
  2. Using a paper plate base, and a plastic cup for
    the cabin, make a UFO flying saucer
  3. Barn yard sensory bin – in a box or bin create
    a farm yard with different farm areas and a barn.
    Accessories accepted.
  4. Colourfully decorate a letter of any medium to
    hang on a bedroom wall. Decorations can be of
    any medium as well.

CLASS – 12 to 15 Years Old

  1. Yarn Art – create fun art by gluing yarn pieces onto canvas
  2. Make a table decoration that features “bees”.
  3. Make a bee-themed decorated container using one mason jar of any size as the base.

CLASS – All ages to 18

  1. Make an item using nail and string technique
  2. “Bee Yourself” – take a head shot of yourself and turn it into a bee – 8 ½” x 11” paper
  3. Using a baggie of treats as the wings, and decorated clothes pin as the body, make a bee.
  4. Create a bowl (using a chosen technique like paper mache, buttons on a balloon technique, plastic confetti, yarn etc.)
  5. Create a bee hive scene using plasticine art “shown” inside a closed CD case.
  6. Scrapbook page (12”x12”) framed or in plastic holder – on theme: “Vankleek Hill – The Place to Bee”
  7. Chocolate chip cookies, 5, on a plate in a zip lock bag
  8. Create a “Bee Kind” gnome
  9. Using pine cones as base, create three farm animals, displayed on a plate.

4-H COMPETITIONS

4-H COMPETITIONS
The object of the fair is to supplement and encourage junior activities as organized by the Ontario 4-H. It is also to improve the educational value of the fair, and to develop new exhibitors for the future, by stimulating interest of young people in the fair.
We encourage exhibitors to follow the 4-H motto of: “Learn to do by doing”.
Rules:

  • Open to any member in an organized 4-H club from Fall 2022 through to the Summer 2023.
  • Entries must be exhibited with an entry tag containing the exhibitor’s name and 4-H Club.
  • The hall will be open on Wednesday evening 7 p.m. to 9 p.m. and Thursday morning between 9:00 a.m. and 11:30 a.m. to receive ex¬hibits.
  • All hall exhibits are to be removed on Sunday of the fair between 3:30 p.m. and 4:30 p.m.
  • Note: Points awarded in 4-H classes do not count towards junior trophy winners

CLASS – INDIVIDUAL 4-H ENTRIES
(Open to All 4-H Club Members from Prescott County)

Rules For 4-H Club Exhibits:

  • Open to all 4-H clubs from Prescott County who have completed a project in the Fall of 2022 through to the Summer of 2023.
  • Approximately one metre of space will be allowed for each club exhibit.
  • Exhibit must represent a club, not an individual member.
  • Exhibits must have a suitable title and include club name.
  • No more than one display per 4-H Club.
  • Exhibits may be placed in the hall on Wednesday, of the Fair between 7 p.m. and 9 p.m. and
  • Thursday of the fair between 9:00 a.m. and 11:30 a.m. and removed Sunday,August 20th, between 3:30 & 4:30 p.m.
